How to Create a Database in MS Access?

Want to create a small database for your home budget or for your small business. You can arrange your complicated data in simple form for further usage and to maintain a record for the further use in future. In the current era data is very important for everyone weather it is in the raw form or in arranged form. But this is important to keep it in the arrange form so that it can be used for future. The data can be kept as an important record or proof. 

You can simply use MS-Office for making and maintaining database.                                         

Click to the office button and select the command of new from the list box.                          

A new pane will appear in the right bottom of the screen. Enter the name of your database and click to the create button.   

A new window in this form will appear. You can enter data here too but it is important to move to the design view and to choose the settings of the fields as required.                                    

Click to the option of “Table 1” in the left pane of the office window. A new option of “Table 1: Table” will appear. Right click on the option of “Table 1: Table” and choose the command of design view.

Save the name of the table according to your desire. 

New window of design view will appear.

Remove primary key first if you want to.

Primary key is for the unique representation of any record. Let the first default column move on because thus will represent your every record uniquely.

 Enter the names of the fields as desired and choose the data type of the field by clicking in the box.

A list box will appear and choose the data type. Have a look as an example to the next picture. And description is for the ease of the user. You can describe their purpose of that field. 

Example:

Change setting from the field properties according to your own choice or requirement. For example required option No, replace it with Yes.

Allow zero length option is with Yes, replace it by No. And so on

And enter the fields according to your own choice and settle their field properties.

Now right click on the option of the “Table 1: Table” and select the command of open.

Now you can enter the data directly over here according to your own requirement.

You can create a database easily by following these steps.  You can create a huge database for your data too and can manage them by using forms and reports.  And can arrange a huge number of data by creating a single database.

Use of Forms in Database

Form work on the front edge of database and it hide the complications of the database from the database user. It is as a form of a university or any other thing that is working on the front end and the data is being entering to the database on the back end.

Adding text-box numbers in the form depends on the number of fields in the database. For example: 

                If you have a field OF Name in the database then you must have a Text-box of the Names in the form.

Lets have a look on the creation of the forms which will work on the front end of the database.

Open a new database or a previous one.
Move to the option of create and select create option.
A new pane will appear and the select the option of form from the tool bar. A by default form according to your database will appear you can easily use that form or you can design your own form by selecting the option of Form design. This will help a user to deal with the criticalness of the database.

Use of Reports in Database

Reports are also one of the important parts of the data base that helps you to extract data from a huge number of data. This makes easy to create a ready-made report for the user.
